This policy explains how ZOA Group UK Limited (“ZOA”, “we”, “us”) collects and uses personal information through this website, zoagroup.co.uk, and when you contact us.

Who we are

ZOA Group UK Limited is part of CTR Group and is the data controller for the personal information described here.

What we collect

When you contact us by email, phone or LinkedIn, we receive whatever you choose to share, typically your name, job title, company, contact details and the content of your message.

When you visit the website, we don’t use analytics, advertising or tracking tools, and we don’t ask you to create an account. Like most websites, the servers that host it automatically record basic technical information for security and to keep the site running, such as your IP address, browser type and the pages requested.

How we use it, and why

  • To reply to your enquiry and discuss how we could work together. Our legal basis is our legitimate interest in responding to people who contact us or, where you’re asking about our services, taking steps at your request before entering into a contract.
  • To provide services under a contract with you or your organisation, where one follows.
  • To keep the website secure and working, which is in our legitimate interests.
  • To meet our legal obligations, for example keeping business records.

We don’t sell your information, and we don’t use it for automated decision-making or profiling.

Cookies and similar technologies

We don’t set any cookies. If you use the light/dark mode switch, your choice is saved in your own browser so the site remembers it next time. It never leaves your device, and you can clear it at any time through your browser settings.

The homepage includes a video embedded from YouTube in its privacy-enhanced mode. YouTube (Google) may store information on your device once you play it, under Google’s privacy policy.

Who we share it with

  • CTR Group companies, where they need it to help answer your enquiry or deliver our services.
  • Service providers who run our website, email and IT systems for us, and only use your information on our instructions.
  • Third-party content on the website. To show the page, your browser fetches some content directly from other providers, which receive your IP address as a result: page styling from Tailwind CSS (cdn.tailwindcss.com), the ZOA Rental preview image from WordPress.com (Automattic), and the embedded video from YouTube (Google).
  • Authorities or advisers, where the law requires it or to protect our legal rights.

Some of these providers may process information outside the UK. Where they do, we rely on the safeguards UK data protection law requires, such as adequacy regulations or standard contractual clauses.

How long we keep it

We keep enquiry correspondence for as long as we need it to deal with your enquiry and any business relationship that follows, then delete it, unless we need to keep it longer for legal or accounting reasons. Server logs are kept for a limited period by our hosting provider.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal information we hold about you
  • correct information that’s wrong or incomplete
  • delete your information
  • restrict how we use it, or object to us using it
  • transfer it to you or another organisation

To make a request, email help@zoagroup.co.uk. We’ll respond within one month. If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113), though we’d appreciate the chance to put things right first.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
